There is no single “best AI” for every job.

Picture a toolbox. A screwdriver, drill, saw, and measuring tape may all be excellent tools, but the right choice depends on what you are trying to accomplish.

AI tools are increasingly the same way. ChatGPT, Claude, Gemini, Microsoft Copilot, Perplexity, and NotebookLM overlap, but each product is built around a somewhat different experience. Comparing them only by asking “Which AI is smartest?” can hide the question that matters more: Which tool fits this work?

Two AI products can both answer questions while being very different tools. One may be designed around web research. Another may be deeply integrated into email, documents, and calendars. Another may be strongest when you give it a controlled set of sources.

Do not choose an AI because someone says it is “the best.” Choose it because its capabilities, integrations, controls, cost, and workflow match the work you actually need to do.

Which AI Tool Should You Choose?

Test With Your Work, Not a Viral Prompt

Give each candidate tool the same three or four realistic tasks from your actual workflow. Compare the usefulness of the output, how much correction it needed, how easily it accessed the right context, and whether the process saved time.

Using More Than One AI Tool Can Make Sense

You do not necessarily need to declare loyalty to one AI product. A team might use one system for workplace integration, another for source-grounded research, and a coding-specific tool for engineering.

Example: a company may use Microsoft Copilot for internal Microsoft 365 context, Perplexity or ChatGPT Deep Research for certain web investigations, and NotebookLM for a curated training library.

The downside is tool sprawl. Every additional system creates another place for permissions, data, subscriptions, training, governance, and employee confusion.

Standardize when standardization reduces friction. Add another tool only when it solves a meaningful problem your primary system does not solve well enough.

Start with the job. Decide what information the AI needs. Decide where that information already lives. Determine whether you need citations, web research, code execution, office integration, controlled source grounding, or multi-step actions.

The best AI tool is the one that produces trustworthy, useful work with the least unnecessary friction for the task you actually need to perform.
